When is a good time to get more office space

Implementing a block schedule system can be an effective strategy for therapists to optimize their office space usage. By grouping appointments into specific time blocks, therapists can minimize gaps between sessions, ensuring that every available hour is utilized efficiently. This approach maximizes the use of limited office space, allowing therapists to see more clients throughout the day without sacrificing quality of care. Additionally, a block schedule provides structure and predictability for both therapists and clients, streamlining the booking process and reducing scheduling conflicts. Below you can see an example of our Monday block schedule for last fall. We update our block schedule regularly to ensure it reflects our therapists’ schedules.
We ask our therapists to maximize at least 75% of their office space or they lose it. For example, if a therapist is scheduled to see clients for 4hrs they need to consistently use the office for at least 3 of those hours.
What factors do I need to consider before getting more space?
Of course, any decision to expand should be financially feasible. Conduct a thorough cost-benefit analysis to determine whether the potential increase in revenue justifies the expenses associated with acquiring and maintaining additional office space. Consider factors such as rent, utilities, furnishings, and any renovations or lease commitments. It's essential to strike a balance between ambition and fiscal responsibility.
You need to look at your profit margins first. I advise therapists to never go over 10% of their monthly review when considering an office space. Instead, try to maximize your office space with at least 2-3 therapists first before getting more rooms. How? Block schedule.
